Job Description For IGS Energy Remote Jobs USA 2024

As the OSM Operations Specialist, your day-to-day responsibilities will include assisting the team by with operational and administrative functions such as scheduling meetings, preparing meeting agendas, taking/consolidating notes and following up on committed actions, tracking initiative/project progress, budget tracking activities, and more

  • Organize and prioritize calendar meetings, vetting inbound requests and helping keep track of recurring meetings with both internal and external stakeholders.
  • Facilitate communication within the OSM team and across departments by relaying important messages, distributing information, and ensuring that all relevant parties are informed of project updates and changes.
  • Review and summarize documents to help identify what is important and where to spend time.
  • Help maintain project plans to capture scope, costs, and schedule. 
  • Collaborate on project documentation including presentations, meeting records, key business reports for leadership, spreadsheets, diagrams, and process maps. 
  • Coordinate and manage internal OSM meetings and external meetings with stakeholders based on project scope/need.
  • Own and execute OSM internal team road mapping activities.
  • Attend internal and external meetings as needed; may include owning the agenda, deck creation, meeting minutes, project plans, action items, status reports, and follow up notes/communications as needed.
  • Support the OSM by working within the Platform Project Management tool to enter data, pull reports, create dashboards, analyze trends in the data, and ensure data integrity. 
  • Support project managers in tracking and monitoring project deliverables, deadlines, milestones, and alerting stakeholders to any deviations from the plan.
  • Assist in coordinating logistics for project-related events such as meetings, workshops, and training sessions to include venue booking, catering arrangements, and coordination with internal events team.
  • Identify opportunities to streamline administrative processes and improve efficiency within the PMO, proposing solutions and implementing best practices to optimize workflow.
  • Assist in the development and implementation of standardized procedures, guidelines, and documentation templates to ensure consistency and quality in project management practices.
  • Maintain shared knowledge bases to keep the team organized and efficient.
  • Support onboarding of new team members, interns, and Rotation Analysts as needed.
  • Other projects/tasks as needed.

Required Skills:

  • Ability to interpret, analyze and evaluate given information relative to business and administrative procedures.
  • Thorough knowledge of Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • Excellent communication and interpersonal skills with the ability to interact professionally with diverse stakeholders at all levels of the organization.
  • Strong organizational skills and detail-oriented aptitude to coordinate several major activities simultaneously.
  • Attention to detail and a commitment to maintain accuracy and integrity in all documentation and communications.
  • Ability to handle multiple priorities within time constraints and deadlines, function well under pressure.
  • Trustworthy: able to handle confidential information with discretion and sensitivity.
  • Emotional IQ to be able to listen and understand people.
  • Quick learner and dynamic problem solver
  • Demonstrates extreme flexibility with rapid changes in the project landscape.
  • Relationship-oriented with the ability to connect with people of varying backgrounds, communication styles and seniority.
  • Proficiency in office productivity software including Microsoft Office suite (Word, Excel, PowerPoint, Outlook.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.

Minimum Education and Experience:

  • Proven experience in an administrative support role, preferably within a project management or PMO environment
